Executive Assistant to the Mayor, Councillors & Governance
- Salary: $88k to $96k per annum + Monthly ADO + Super

As an Executive Assistant to the Mayor, Councillors and the Chief of Governance, your day-to-day duties will include:
- Providing administrative and secretarial support to Mayor (including monitoring emails) and Councillors in response to requests, complaints and enquiries from external and internal customers and to the Chief of Governance.
- Maintaining an appointment diary for the Mayor and informing all Councillors of various applicable invitations/appointments as well as coordinating meetings with Councillors, staff, politicians and members of the public
- Assisting in the maintenance of the business of Council and the administration of the Council Agenda Management System (Doc-Assembler / Docs On Tap) for Ordinary Council meetings and Councillor Briefings (eg prepare and distribute notice papers, notes, briefing papers, meeting minutes and agendas)
- Assisting in organising Mayoral, Civic and Council functions and attending these as a support role to the Mayor
Please note that a number of these events occur out of office hours and the incumbent will be required to work at such events. Overtime rates will apply.
To succeed in this position you will need:
- Substantial experience in providing administrative and secretarial support at executive level in a complex multi-disciplinary organisation
- Experience in organising and coordinating various ceremonies, gala’s, presentations and functions
- Demonstrated understanding of the operations of a Council and of the Mayor and Councillors in Council and the community
- The ability to deal with complex issues in a sensitive and often political environment.
- Strong communication skills – including written for preparation of high quality documents and verbal for working effectively with a wide range of stakeholders
- Ability to quickly establish credibility coupled with Strong problem solving skills with a proactive approach to problems/issues
