Business Support Officer (Infrastructure)

About the Engineering Services Department
This department is part of our City Services Division, and is responsible for the effective and sustainable management of Council’s infrastructural  assets, including the planning, design, and delivery of a number of asset-related services.

About the Role
This position contributes to the efficient and effective operation of the Engineering Services Department by providing customer, business and administrative support, specifically for the Infrastructure Planning Unit.

This position leads the communications and actions associated with high quality customer service through ensuring quality control of responses and preparing professional, plain English documentation such as permits, reports, strategies and plans.

Some of the key responsibilities in this role will include:

  1. Providing a range of administrative and customer experience support to the department.
  2. Assisting in the preparation of property and asset information to consultants in accordance with the Property Information and Asset Request system.
  3. Assisting in assessing and making recommendations on engineering requests and referrals, including engineering documentation relating to subdivision development and asset management to confirm compliance with relevant Council standards and requirements.
  4. Contributing to determining operational and administrative priorities for the relevant work group.
  5. Assisting with preparing responses to allocated enquiries and requests which meet the required professional and style guide standards, meeting response times.
  6. Providing a high level of customer service and continuous improvement and in doing so, promote Council’s Customer Service Commitments.
  7. Preparing financial and project management reports, including managing the facilitation and recording of project working group meetings or similar.

About You
To be successful in this role, you will require:

  • Tertiary qualifications (or extensive experience) in business administration / management or related field.
  • Highly developed interpersonal and communication skills, written and oral, and proven ability to liaise and communicate effectively and tactfully and to obtain cooperation from ratepayers and internal stakeholders.
  • Demonstrated experience in providing a high level of customer service.
  • Strong software skills with practical experience using the Microsoft Office suite, record management systems and/or GIS software.
  • Highly developed organisational skills with the capacity to coordinate tasks, determine priorities, monitor workflows and operate effectively as a member of a team in a highly pressured, and at times political, environment
  • Ability to contribute positively to the success of the department’s goals.
